Our secure, cloud-based Safekeep imaging system efficiently indexes and archives documents from any source. Whether it is paper coming in from one of our dedicated Safekeep scan stations, a document photo capture from our Mobile Dispatch driver app, a document scanned from a copier, or any other external source, Safekeep relies on fast indexes and intelligent metadata allowing you to search and access terabytes of documents instantly. Our import, export and workflow capabilities are customizable and automated, quickly getting documents to the people that need them.

▻ Data Extraction

Incoming freight documents enter our AI-driven workflow engine to extract key data like consignee, pieces, weight, etc. Even handwritten information can be extracted and parsed. Eliminate manual data entry, correct errors, and fill in gaps in EDI data. Paperwork from partner trailers is instantly parsed and entered into your TMS via API. These documents can then drive automated processes and populate manual workflow queues.

Dramatically more efficient than scanning modules used by other imaging vendors, Safekeep’s Realtime Scanning typically results in labor savings of at least 50%. How is this possible? Unlike other imaging systems, Realtime Scanning processes all QA and indexing tasks concurrent with the scanner running at full speed.

Easily search for and view documents from the Acordex web portal, or view them with a single click from outside applications, including your TMS, using Safekeep’s API. Drivers can view scanned documents with a single click from Mobile Dispatch, reducing paperwork in the cab.  

Use Safekeep’s document workflow suite to route documents to your staff, manage their work queues, set alarms for overdue decisions, and allow multiple work sequences in parallel. Automatically export documents to outside parties based on partner carrier code, document type, or other custom rules.

From original BL, to signed POD to tracking when customers open their electronic rendition bills, the entire process is automated. Your documents are automatically exported to your partners. Photos of damaged freight are attached to their pro#, and accident photos are attached to the driver’s run with zero labor! Every terminal and office has access to all documents at all times.
